About the Role

We are a well-established dental practice seeking an experienced and highly organized Dental Office Manager to join our team. The ideal candidate will have a minimum of 3 years of experience in dental office management, a strong understanding of health insurance contracts, and proven leadership skills. This is a full-time, on-site role that requires splitting workdays between our Chicago and Schaumburg locations. As the Dental Office Manager, you will be responsible for overseeing daily operations, managing staff, and ensuring smooth and efficient patient care.

Requirements

Key Responsibilities

  • Staff Management: Supervise and manage a team consisting of dental assistants, dental hygienists, and receptionists. Create weekly staff schedules, ensuring proper coverage at both locations.

  • Scheduling: Manage patient and doctor schedules, ensuring efficient patient flow, and minimizing wait times. Coordinate with both Chicago and Schaumburg offices to ensure smooth scheduling between locations.

  • Insurance & Billing: Handle various patient reports, including past balances, overdue insurance claim payments, and invalid/rejected claims. Ensure claims are submitted accurately and follow up on overdue claims or rejected payments. Work closely with insurance companies and patients to resolve any outstanding issues.

  • Office Supplies: Order and maintain dental office supplies, ensuring both locations are well-stocked and prepared for patient care.

  • Reports: Work with patient and financial reports to ensure billing accuracy, and track and resolve outstanding patient balances.

  • Location Oversight: Manage both the Chicago and Schaumburg locations, ensuring a consistent, high-quality patient experience at each site. Split time equally between both offices, working with the practice owner on operational strategy.

Qualifications:

  • Minimum of 3 years of experience in dental office management.

  • In-depth knowledge of health insurance contracts, billing procedures, and claims processing.

  • Experience managing a dental team, including assistants, hygienists, and receptionists.

  • Strong communication and interpersonal skills, with the ability to manage multiple teams and foster a positive work environment.

  • Highly organized with excellent problem-solving and time-management skills.

  • Ability to work efficiently in a fast-paced environment, handling multiple responsibilities simultaneously.

  • Proficiency with dental management software and office equipment.

  • Language: Proficiency in Ukrainian or Polish and English
